Rates
Vive Consulting uses different hourly rates for Consulting Services than for Database & Services based on a sliding scale.
Vive’s sliding scale is based on your organization’s budget or staff size.
Consulting Services
- Budget of $500,000 or less or 2 or fewer staff members: $150 per hour
- Budget of $500,001 to $2,000,000 or between 3 and 5 staff members: $175 per hour
- Budget of over $2,000,000 or more than 5 staff members: $200 per hour
Database Services
- Budget of $500,000 or less or 2 or fewer staff members: $100 per hour
- Budget of $500,001 to $2,000,000 or between 3 and 5 staff members: $125 per hour
- Budget of over $2,000,000 or more than 5 staff members: $150 per hour

Additional Expenses
Working with Vive Consulting is just like working with a lawyer (but, hopefully, more pleasant!). Please remember that preparation time, phone calls, emails, and onsite work are all billable to your organization. We keep track of our time using Slimtimer and will provide you with ongoing reports.
Travel is also billed directly to your organization. Vive Consulting treats your wallet like its own – we’ll always book the lowest fares for reasonable routes and are committed to being good stewards of your resources. We use the standard IRS rates for mileage reimbursement, and cap hotel and meal expenses based on going rates at the organization’s location.
Our daily hotel and per diem meal expenses are set as follows:
- New York, San Francisco, Los Angeles, Washington D.C.: $250 for hotel; $60 for meals
- All other large cities such as Orlando, Seattle, Atlanta, etc.: $200 for hotel; $50 for meals
- Smaller cities and suburban areas: $150 for hotel; $40 for meals
Payment Terms
Vive Consulting will meet your deadlines and we expect you to meet ours, after all, we’re partners! Payment terms depend on whether we agree to a customized fixed price project or a Times and Materials contract.
Fixed Price Contracts
Unless otherwise specified, 50% of the contract price is due upon signing the agreement and the remaining 50% is due when the project is completed.
Times and Materials Contracts
10% of the contract price is due upon signing the agreement. Hours are then billed monthly as they are used and payments are due within 30 days of invoice receipt.
Cancellation Policy
If you cancel at the last minute, you’re using time that could have been dedicated to helping other clients. We hate to do it, but we’ll have to bill you for services if you cancel within 7 days of your scheduled meetings with Vive Consulting if we can’t rebook our time. Please contact us as soon as you know that you have a schedule or other conflict and we’ll work out a new arrangement! If you have a last minute emergency, please call us and we’ll make every attempt to come up with a solution.
